The House & Property Manager is responsible for the seamless, day-to-day operation of the primary residence and oversight of additional properties and personal assets. This role ensures the household runs efficiently, properties are maintained to the highest standard, and all vehicles, boats, and recreational assets are properly serviced, stored, and managed. The ideal candidate is highly organized, proactive, and experienced in luxury home and asset management.
Key Responsibilities
Household Management
- Oversee daily operations of the primary residence.
- Supervise and coordinate housekeeping staff, contractors, landscapers, and service providers.
- Maintain household cleanliness, organization, and overall readiness.
- Manage household supplies, purchasing, and inventory control.
- Schedule and oversee regular maintenance (HVAC, plumbing, electrical, pool, appliances, security systems).
- Monitor property security, alarms, access, and vendor entry.
- Ensure all systems are functioning efficiently and resolve issues promptly.
- Support family needs including basic errands, receiving deliveries, and guest preparation.
Property Oversight (Secondary Properties / Vacation Homes)
- Conduct regular inspections (in person or via remote systems) to ensure properties remain in excellent condition.
- Coordinate repairs, upkeep, seasonal preparations, and opening/closing procedures for each property.
- Maintain documentation, warranties, and service schedules.
- Manage cleaning teams and arrange turnovers before family visits or guest use.
- Act as point-of-contact for neighbors, HOA, or local service providers.
Asset Management (Vehicles, Boats, Jet Skis, Equipment)
- Oversee maintenance schedules, cleaning, fueling, detailing, and storage for all vehicles (cars, SUVs, golf carts, ATVs).
- Manage waterfront assets: boats, jet skis, docks, lifts, trailers—ensuring they are serviced, registered, winterized/summerized, and ready for use.
- Maintain logs for licensing, registration, insurance, and service records.
- Coordinate transportation of assets as needed (towing, marina scheduling, repairs).
- Ensure all recreational equipment is safe, clean, and operational.
Vendor & Contractor Coordination
- Build and maintain relationships with trusted service providers.
- Schedule and supervise contractors for all properties and assets.
- Review and approve invoices, track expenses, and ensure work meets expectations.
- Solicit bids for projects and present recommendations.
Administration & Record-Keeping
- Maintain household manuals, property logs, and maintenance calendars.
- Track budgets, receipts, and expenditures; support accountant or estate manager with reporting.
- Handle insurance renewals, warranties, and service agreements.
- Maintain confidentiality and act with discretion at all times.
Event & Guest Support (If Needed)
- Assist with planning small gatherings, coordinating staff, and preparing the home.
- Ensure guest accommodations are stocked and ready.
Qualifications
- 3–7+ years of experience in private household management, estate management, or facilities/property oversight.
- Strong knowledge of luxury home systems, vehicles, and marine equipment (boats, jet skis, etc.).
- Proven ability to supervise contractors and manage multiple projects across different locations.
- Excellent organizational, communication, and problem-solving skills.
- Tech-savvy; comfortable with smart home systems, maintenance tracking apps, and spreadsheets.
- Valid driver’s license; boating experience or certifications preferred.
- Ability to work flexible hours and respond to urgent issues.
- High level of honesty, integrity, and professionalism.
