Position Overview

We are seeking an exceptional Executive and Business Support Officer to provide outstanding administrative, organisational, and operational support to the senior leadership team and to contribute to the smooth and professional running of our Dubai office.

This role requires a combination of high integrity, sound judgment, and the ability to operate autonomously, while also knowing when and how to elevate matters appropriately. The ideal candidate will bring strong experience in corporate administration within a law firm, wealth management firm, fiduciary provider, or similar regulated professional services environment.

The candidate will manage complex documentation, coordinate cross-functional projects, oversee confidential communications, and ensure executive priorities are executed seamlessly. The role also includes elements of office coordination, stakeholder management, and financial administration in support of broader business operations. It is ideal for an experienced individual who thrives in a fast-paced, high-performance environment and values excellence, discretion, autonomy, and adaptive proactive problem-solving.

Key responsibilities
Executive Support
  • Provide high-level, confidential administrative support to senior leadership, including diary management, meeting coordination, internal filings, and signing arrangements.
  • Prepare, proof, and manage documents and correspondence, ensuring accuracy, consistency, and professional presentation.
  • Draft meeting minutes, track follow-ups, and ensure actions are completed.
  • Support entity filings and portal management where required.
Document Management & Legal Administration
  • Prepare, edit, and manage template legal documents such as resolutions, partnership agreements, employment contracts, and administrative filings.
  • Coordinate the execution of legal documents and ensure correct process flow and record keeping.
  • Liaise with external professional advisers and legal partners where needed.
Project Coordination
  • Support leadership on multi-stream projects, ensuring timelines are managed, stakeholders are aligned, and deliverables are tracked.
  • Assist in research, preparation of briefing notes, and creation of PowerPoint presentations or project documents.
  • Identify gaps, anticipate needs, and resolve issues before they escalated.
Travel & Logistics
  • Manage complex multi-city travel arrangements including flights, accommodation, visas, and transport, sometimes for large travelling parties.
  • Prepare detailed itineraries, briefing packs, and manage post-travel expenses.
  • Monitor attendance at board meetings and forward plan travel with executives to ensure appropriate physical attendance at non-regional offices.
  • Manage event attendance ensuring all resources are prepared and available ahead of attendance or presentation alongside co-ordinating with marketing for event coverage content.
Communication & Stakeholder Liaison
  • Serve as a key point of contact for internal teams, clients, suppliers, and external partners.
  • Handle communications with professionalism, discretion, and sound judgment, ensuring full consideration or processing of information before presentation to the executive .
  • Ensure leadership is briefed and prepared for all meetings and commitments.
  • Front of house and client hospitality.
Financial Administration
  • Prepare, reconcile, and track expenses and invoices in collaboration with the finance team.
  • Support budget monitoring, vendor invoice processing, and procurement requests.
  • Contribute towards tracking and preparation of weekly management reports.
  • Support on bank account opening applications
Business Operations & Office Coordination
  • Support the overall smooth running of the 3 UAE offices.
  • Assist with vendor liaison, access control coordination, meeting room oversight, and general office readiness.
  • Support onboarding/offboarding workflows including documentation, visa management, device setup, and workspace preparation, as needed.
  • Provide hospitality support for client meetings and internal events.
What We’re Looking For
  • 3-5 years' experience as an Executive Assistant or senior administrative professional within a legal, wealth management, fiduciary, or regulated professional services environment.
  • Proven experience preparing and managing legal or corporate administrative documents.
  • Strong organisational and time-management skills with the ability to manage multiple priorities and deadlines.
  • Excellent written and verbal communication skills with strong attention to detail.
  • High degree of discretion, confidentiality, and integrity.
  • Ability to work autonomously, make informed decisions, and seek guidance appropriately.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and comfort with digital tools and systems.
  • Basic financial administration experience is an advantage.
  • Professional, proactive, and solutions-oriented approach to work.
