Key Activities and Competencies

For the construction of the PV plant in the region ENGIE is seeking a Document Controller to manage the documentation process between ENGIE, the EPC Contractor and the Offtake. The Document Controller will also oversee the setup, use and maintenance of the PROCORE platform to ensure compliance, traceability and streamlined communication throughout the project lifecycle.

Responsibilities
  • Maintain and administer the document control system (PROCORE) for the project ensuring compliance with ENGIE and EPC contract requirements.
  • Establish and enforce consistent document numbering, version control, distribution workflows and archiving in line with the Master Document Register (MDR).
  • Coordinate submission review and approval of all project documents including engineering drawings, technical procedures, material submittals, RFIs, meeting minutes and correspondence.
  • Track EPC document deliverables in accordance with the MDR project schedule and deliverable matrix.
  • Follow up with internal and external parties for overdue responses and ensure comments are addressed, closed and properly documented.
  • Facilitate daily communication and document exchanges with EPC Contractor and Offtaker (EWEC) ensuring clear version tracking and audit trails.
  • Regularly update document status logs and dashboards for management reporting and interface meetings.
  • Prepare, manage and store incoming and outgoing transmittals and maintain registers in both hard and electronic formats.
  • Interface with ENGIE’s legal, engineering, procurement and QA/QC teams to manage confidential and contractually sensitive documents.
  • Control access permissions on PROCORE and manage user profiles and distribution groups.
  • Ensure proper documentation for project milestones such as Design Freeze, Ready for Energization, PAC and FAC.
  • Assist in the compilation of final project records including As‑Built drawings, commissioning documentation, O&M manuals, vendor certificates and test reports.
  • Conduct routine quality checks on document formatting, completeness, traceability and metadata accuracy.
  • Coordinate with the EPC to ensure correct implementation of document coding structure and naming conventions across all submissions.
  • Provide training and support to internal teams and contractors on PROCORE use and document control procedures.
  • Support technical and financial audits by retrieving requested documentation and maintaining compliance evidence.
  • Implement and maintain document retention schedules as per ENGIE’s quality and legal standards.
  • Archive all final documentation as per handover protocol and support the Owners Engineer and Asset Management team during the transition to the O&M phase.
  • Manage document confidentiality levels and ensure sensitive information is protected according to project governance.
  • Maintain project office supplies, stationery and consumables and track usage.
  • Liaise with the EPC Contractor and Owners Engineer on administrative and protocol matters.
  • Monitor office infrastructure needs (printers, power connectivity) and elevate maintenance needs.
  • Handle site‑level onboarding of new staff including workspace allocation and orientation coordination.
  • Support logistics and coordination of site meetings including room bookings, catering and minutes preparation.

Required Qualifications
  • Bachelor’s degree or diploma in Business Administration, Engineering or related field.
  • Minimum 5 years of document control experience on EPC or infrastructure projects, preferably in solar power or energy sector.
  • Strong knowledge and hands‑on experience with document management platforms.
  • Familiarity with project lifecycle documentation: technical submittals, quality records, RFIs and As‑Built packages.
  • Excellent understanding of ISO 9001 documentation control standards.
  • Experience in coordination with multi‑party stakeholders and following contractual documentation procedures.
  • Detail‑oriented with excellent organizational and communication skills.
  • Fluent in English.
