About The Opportunity
A leading firm operating in the Management Consulting & Business Services sector, delivering advisory and operational support to projects across the UAE. We provide process-driven project controls, compliance, and documentation services to public and private-sector clients supporting high-value, regulated engagements. This on-site Document Controller role is critical to ensuring documentation integrity, traceability, and audit readiness for project teams based in the United Arab Emirates.
Role & Responsibilities
- Manage the document lifecycle: receive, classify, index, distribute, revise, and archive project and corporate documents to meet client and statutory requirements.
- Administer and maintain the Document Management System and SharePoint libraries—ensure correct metadata, naming conventions, and version control.
- Implement and enforce document control procedures in line with ISO 9001 and client QA/QC standards; process transmittals, approvals, and revision notices.
- Coordinate with project teams, contractors, and stakeholders to track submittals, RFIs, drawings, and action items until closure.
- Perform regular document audits, maintain logs and registers (transmittal, revision, distribution), and produce status reports and KPIs for management review.
- Support onboarding and provide training to project staff on document control workflows, tools, and best practices to reduce errors and improve compliance.
Skills & Qualifications
Must-Have
- Proven experience managing project documentation and records in a DMS/SharePoint environment.
- Familiarity with ISO 9001 documentation practices and QA/QC documentation workflows.
- Strong working knowledge of Microsoft SharePoint for library creation, permissions, and metadata management.
- Proficiency with Microsoft Word and Microsoft Excel for document formatting, indexing, and log maintenance.
- Solid understanding of version control, revision logs, and transmittal processes for engineering and commercial documents.
- Attention to detail, organisational rigor, and ability to produce audit-ready documentation and reports.
Preferred
- Experience with Aconex or other construction/project DMS platforms.
- Familiarity with Bluebeam, Procore, or similar document markup and submittal tools.
- Knowledge of UAE regulatory or client-specific documentation requirements.
