Key Accountabilities
- Manage project-related documents with accuracy and quality in a timely manner.
- Control all aspects of project documentation across multiple projects, ensuring alignment with client systems and procedures.
- Upon project award, prepare a work list for the project as advised by the PM / Project Planner and release it to trades.
- Create project-specific email addresses and ensure departmental distributions are made according to project requirements and distribution strategies.
- Arrange to grant project/network drive access and provide authorization as per company policy.
- Develop project folder structures upon award, ensuring all project documents are stored in relevant folders and regularly updated.
- Obtain the deliverable list from relevant stakeholders in line with contract requirements and prepare the Master Document Register (MDR).
- Implement project document templates with the latest formats, as per contract requirements.
- Support the preparation of final/as-built documents upon project completion and archive them in designated folders for future reference.
- Receive/download documents and deliverables from FTP servers and manage the distribution of inward and outward documentation, registering all transactions.
- Maintain and update document transmittals and related reports.
- Attend VSL (Visible Safety Leadership) Walkdowns as assigned.
Qualifications/Experiences & Skills
- Diploma / Degree in any discipline
- Proficiency in MS Office applications
- Experience with project document control systems, industry standards, and client-driven document control systems
