We are seeking a proactive and detail-oriented Admin Coordinator to support our growing real estate operations. This role involves coordinating administrative tasks, documentation, and regulatory compliance. You will serve as a key point of contact for employees, agents, and management, ensuring smooth and efficient daily operations across the company.
Key Responsibilities
- Draft, review, and coordinate MOUs, Contracts A & B (manual and online).
- Prepare, process, and renew tenancy contracts; provide administrative support to agents and clients.
- Coordinate property transfer procedures with the Trustee Office.
- Prepare and manage Form I, External Agent, Referral, and Channel Partner Agreements.
- Draft NOCs, Undertaking Letters, Authorization Letters, and other internal documentation.
- Assist with Developer Agency Agreements, renewals, and developer-issued NOCs.
- Manage property listings: upload, update, follow up, and relist expired listings.
- Maintain accurate records of completed sales deals for agents.
- Support developer agent portals and assist with agent onboarding and system access.
- Coordinate company trade license, ORN, and regulatory renewals.
- Ensure compliance with DLD/RERA regulations, permits, and documentation.
- Maintain organized records for tenancy contracts, property listings, sales, and agent/developer agreements.
- Support office administration, company assets, internal communication, and staff coordination.
Requirements
- Experience in real estate administration, operations, or a similar coordination role is preferred.
- Strong organizational skills with the ability to multitask and meet deadlines.
- Knowledge of DLD/RERA processes is an advantage.
- Excellent communication and coordination skills.
