Reinventing Short-Term Renting SmartStay is a holiday homes company that offers luxury furnished apartments in prime locations like Downtown Dubai. At SmartStay, we pride ourselves on delivering exceptional service and reliability to our clients. As we continue to grow, we’re currently undergoing a full financial reset and require a proactive Accounts Executive to support SmartStay and its sister companies.

The Role: Accounts Executive

We are looking for a detail-oriented and proactive Accounts Executive to support SmartStay and its sister companies. This role is ideal for someone with 2+ years of accounting and bookkeeping experience who is comfortable working with QuickBooks, Qashio, Nomod and other accounting tools. You will assist with daily finance operations, ensure accurate financial records, support compliance, and help build efficient finance systems and SOPs for the organisation.

Responsibilities
  • Maintain accurate bookkeeping and general ledger entries.
  • Perform daily transaction analysis and upload entries to QuickBooks.
  • Handle bank and corporate card reconciliation, track and reconcile utilities, supplier invoices, OTA commissions, and owner statements.
  • Prepare invoices, process payments, and manage receivables/payables.
  • Monitor and record operational costs (HVAC, repairs, consumables, utilities, etc.) and prepare monthly statements per apartment.
  • Analyse financial data and prepare comprehensive financial reports.
  • Manage cash flow, ensuring liquidity and financial stability.
  • Manage petty cash and employee expense reimbursements.
  • Support payroll processing and ensure compliance with UAE regulations.
  • Assist in budget preparation and financial planning.
  • Manage supplier relationships, maintain supplier lists, and negotiate cost-effective alternatives.
  • Coordinate with new suppliers and prepare/sign contracts; maintain all contract renewals and service agreements.
  • Support tracking of maintenance tasks and related purchases.
  • Issue guest refunds, as required.
  • Assist with VAT, UAE Corporate Tax, and other compliance filings.
  • Coordinate with auditors and prepare required documentation.
  • File card dispute cases for incorrect charges.
  • Monitor and manage the finance email inbox for invoices, approvals, and updates.
  • Participate in weekly finance review meetings and provide relevant insights.
  • Ensure compliance with financial regulations and standards.
Skills & Qualifications
  • Minimum 2 years of UAE accounting experience, especially in bookkeeping and reconciliations.
  • Proficient in QuickBooks and Google Sheets.
  • Basic understanding of accounting principles and financial reporting.
  • Familiarity with UAE VAT and Corporate Tax is a plus.
  • Experience with short-term rental or property management accounting is advantageous but not required.
  • Strong organizational skills, attention to detail, and ability to multitask.
  • Good communication skills in English.
  • Proactive, responsible, and willing to learn and grow in a finance team.
  • Must be available immediately.
