Role Purpose

The Accounting & Administration Supervisor is responsible for operating, supervising, and controlling the accounting system after external Zoho Books implementation. In addition, the role includes selected administrative and CEO-support responsibilities.

The purpose of this role is to:

  • Ensure accurate, transparent, and audit-ready accounting
  • Supervise and train bookkeepers
  • Maintain financial control and discipline
  • Reduce the CEO’s involvement in daily accounting and administrative tasks

This is a hands-on supervisory role, not a system architecture or strategic finance position.

Core Responsibilities
1. Accounting Operations & Supervision
  • Take full operational ownership of Zoho Books after external implementation
  • Ensure all transactions are recorded correctly by bookkeepers
  • Review and approve postings before month-end close
  • Maintain consistency with the defined chart of accounts and accounting logic
2. Month-End Closing & Reporting
  • Lead the monthly closing process
  • Ensure completion of:
  • Bank reconciliations
  • Tenant and customer balance reconciliations
  • Revenue recognition, accruals, and prepayments
  • Prepare and review:
  • Monthly Profit & Loss
  • Balance Sheet
  • Cash flow overview
  • Clearly explain monthly results and variances to management
3. Bookkeeper Training & Leadership
  • Train and onboard bookkeepers into the implemented accounting structure
  • Assign daily, weekly, and monthly tasks
  • Review work quality and correct errors
  • Establish clear routines, deadlines, and accountability
  • Prevent recurring mistakes through structured supervision
4. Audit Readiness & Compliance
  • Maintain clean audit trails and supporting documentation
  • Prepare reconciliation schedules and audit files
  • Act as the internal point of contact for auditors
  • Ensure compliance with UAE accounting and regulatory requirements
5. Administration & CEO Support (Approx. 40–50%)
  • Take over selected administrative and coordination tasks from the CEO
  • Support payment tracking and internal documentation follow-up
  • Coordinate between accounting, management, and external service providers
  • Ensure structured execution of operational administrative tasks
6. Coordination with External Teams
  • Manage the handover from the external Zoho Books implementation team
  • Fully understand accounting structure, logic, and SOPs
  • Ensure the system is maintained correctly after implementation
