The Credit Controller is responsible for managing an assigned debtor's book, ensuring timely payments, minimizing bad debts, and maintaining excellent relationships with both internal and external stakeholders.
The role involves adhering to credit policies and providing effective customer service while resolving account queries quickly.
Banking & Payment Allocations:
- Daily review of bank statements to identify and allocate payments.
- Ensure correct allocation according to remittances and payment instructions.
- Follow up with partners if remittance or payment instructions are missing.
Statements & Communication:
- Ensure partners view their statements, following up if not viewed within 3 days.
- Re-send statements if necessary and confirm.
- Send invoices, PODs, credit notes, and other documents as requested.
- Guide partners to use the system to access documents directly.
Account Reconciliations:
Ensure up-to-date reconciliations are available for accounts with payment queries.
Collections:
- Contact partners regularly to ensure timely payments are made.
- Prioritise overdue accounts and follow up weekly until paid.
- Work with the sales team to resolve difficult collections, but do not expect them to collect payments.
Monthly SPLA Process (for Cloud Partners):
Ensure overdue and over-trading accounts are addressed before the 15th working day of each month to release SPLA orders.
Reporting:
Provide weekly updates on overdue accounts and feedback on the top 50 overdue.
Query Resolution:
Log and follow up on all queries. Escalate unresolved queries as necessary to ensure timely resolution.
Adjustments:
Process approved adjustments (interest, write-offs) in the ERP system and advise the AR Supervisor. Weekly review of age analysis, write-offs, unapplied payments, and credits. Ensure organized filing and record-keeping of all relevant documents.
General Responsibilities:
- First contact with partners should always be by phone, followed by email for confirmation.
- Maintain accurate notes in the ERP system after any action or interaction.
- Proactively manage accounts to avoid late payments.
- Inform the AR Supervisor and Group Credit & AR Manager of any urgent payment issues.
Additional Requirements:
Continuously educate partners on using the system. Perform any other tasks as required by the AR Supervisor or Group Credit & AR Manager.

REQUIREMENTS:
Internal training associated with competencies: During the first week of your employment, you'll be presented with a meticulously crafted learning map designed to guide you through your on-the-job training experience.
Minimum Qualifications:
- Matric.
- A Finance or Credit Management qualification is not required but would be advantageous.
- 3-5 years of experience in Credit Control or Accounts Receivable, ideally in a fast-paced environment.
- Proven track record in debt collection and managing large debtor portfolios.
- Experience in handling multiple vendor, supplier, and customer accounts simultaneously.
- Strong negotiation skills with the ability to resolve conflicts and ensure timely payments.
- Proficiency in using Sage / Accpac for payment allocations, account management, and reporting.
- Excellent communication skills, both written and verbal, to effectively engage with internal teams and external clients.
- Strong organisational skills with the ability to prioritise and manage a high volume of accounts.
- Attention to detail, ensuring accuracy in payment allocations, account reconciliations, and reporting.
- Ability to work independently and as part of a team, collaborating effectively with colleagues across departments.
- Knowledge of credit policies, legal aspects of debt collection, and relevant legislation.
- Problem-solving skills to quickly address and resolve any account-related discrepancies or queries.
- A proactive and results-driven approach to managing accounts and ensuring outstanding debts are collected.
Office Requirements:
- Office-based working environment.

- Working hours are from: 08:00 – 17:00.
- Excellent international business language skills (English), both written and verbal.
