Duties include, but are not limited to:
- Inception: Acknowledge instruction, perusal and understanding of loan conditions, perform and interpret deeds office records, establish initial contact with client and linked attorney, and open the file.
- Preparation of loan documents for client signature.
- Attend to transfers, various land development applications, and prepare notarial deeds and servitudes.
- Prepare other conveyancing documents such as applications, powers of attorney, waivers of preference, resolutions, conveyancer’s certificates, etc.
- Weekly reporting to clients, bankers, and agents; liaise with city councils, managing agents, and linked attorney firms as necessary.
- Prepare lodgement documents and coordinate lodgement arrangements.
- Ensure all loan conditions are met for successful registration at the deeds registry within satisfactory turn-around times.
- Manage financial aspects of transactions, including final accounts, collecting costs/disbursements from clients, and handling accounting queries.
Requirements
Skills and Knowledge
- Thorough understanding of conveyancing processes, including transfers, bonds, cancellations, etc.
- Understanding of loan conditions, title conditions, and ability to interpret deeds office records and surveyor diagrams.
- Experience in commercial bond registrations.
- Ability to handle instructions independently from inception to registration and manage high volumes effectively.
- Strong written and verbal communication skills for professional correspondence and client interactions.
- Proficiency in English.
- Team-oriented with excellent interpersonal skills and a proactive approach.
- Typing speed of 45+ words per minute.
- Meticulous with attention to detail.
- Fully proficient in Microsoft Office, LexisConvey, Webconvey, Stordoc, and L@W/E4.
Qualifications
- Matric or equivalent qualification.
- Secretarial Diploma with excellent typing skills.
- Minimum of 7 years’ experience in mortgage bond registrations.
