Responsible for processing payroll, remitting payroll taxes, and government reporting, as well as preparing monthly, quarterly, and year-end payroll statements.
Ensure that all documentation submitted to the payroll department for employee payments complies with established payroll and accounting principles, practices, and standards.
Assist staff members with payroll queries.
Upload all Retirement Fund Schedules.
Finance: Check and oversee the payroll administrator to ensure a limited number of errors, minimizing financial loss to Bidvest Bank, Bidvest Life, and Bidvest Merchant Services.
Customer Centricity: Proactively assist staff with payroll queries and provide feedback. Raise queries with the Payroll Manager when necessary and learn from queries to upskill yourself. Deal with third parties professionally, providing requested information and handling queries.
Operational Excellence: Responsible for uploading batches, month-end reports, recons, GLs, GLMs, and addressing queries. Authorize level 1 on Direct Transact & GPO—ensure correct details are loaded, double-check entries, and verify changes in bank details and beneficiaries. Resolve third-party queries, such as medical aid payments, liaising with the medical aid company, medical insurance (Kaelo), and staff members, making necessary changes.
Ensure accurate processing of new and terminated employees. Pull reports timely, check for errors, and resolve issues before the pay run. Check errors on payroll audit reports and collaborate with HR to resolve them. Provide support and training to payroll administrators. Oversee and verify medical aid applications and changes, ensuring accuracy.
Ensure all staff-related changes are captured correctly. Verify overtime, claims, and commissions for accuracy. Guide the administrator in following up on garnishee orders, communicating with attorneys, and obtaining statements. Ensure maternity leave administration is correct, with AODs calculated and stored on PaySpace. Assist with month-end processes, verifying garnishee payments and updating loan schedules, including bursary repayments.
Handle and review bad debt schedules and follow up accordingly.
Proactively manage payroll queries via the Ticketing System, escalating issues to the Payroll Manager when necessary. Assist during audits by providing required information.
People Management: Manage and upskill the payroll administrator, sharing knowledge and learning from errors. Build strong relationships with stakeholders to facilitate accurate payroll processing. Oversee payroll administration, reports, and records.
Learning and Growth: Stay updated on trends, systems, medical aid, pension fund changes, and legislation updates.
Requirements: Grade 12, Payroll Diploma, 8+ years payroll experience, including 2+ years in a supervisory role, experience with PaySpace system, and relevant knowledge, skills, and abilities such as service orientation, detail orientation, professionalism, interpersonal skills, customer focus, communication skills, tax knowledge, and numerical flair.
