Qualifications

• Bachelor’s degree or equivalent experience in business administration, construction management, or related field.
• Minimum 3 years of project coordination/administration experience, preferably in construction.
• Proficiency with project management software (MS Project/Asana/Trello/Procore).
• Excellent organization and time management with strong written and verbal communication.
• Ability to work independently in a remote setup and manage multiple tasks.

Responsibilities

• Coordinate project activities and ensure clear communication among teams, clients, and stakeholders.
• Organize all project documents including contracts, blueprints, reports and correspondence.
• Track timelines, milestones and deliverables to flag delays or issues.
• Assist PMs in developing schedules and work plans.
• Facilitate virtual meetings, prepare agendas, and share minutes and action items.
• Maintain up-to-date project databases and information access.
• Support procurement by managing supplier information and orders.
• Prepare status reports highlighting progress, risks and challenges.
• Gather information from on-site teams and provide remote support.
• Ensure adherence to company policies and project-specific requirements.
• Assist onboarding of new remote team members.
• Manage project-related correspondence and inquiries.
• Utilize project management and collaboration tools to improve workflow.
• Support budget tracking with financial data as directed.
• Contribute to continuous improvement of coordination processes.
