Our client, a prestigious hotel and conference venue nested in the heart of the picturesque winelands in Stellenbosch, Western Cape , is seeking a highly organized and creative Banqueting and Events Coordinator. This role is crucial for the successful planning, execution, and management of all banquets, conferences, weddings, and other special events hosted at the venue. The ideal candidate will possess exceptional organizational skills, a flair for creativity, outstanding communication abilities, and a deep understanding of event logistics. You will work closely with clients to understand their vision and translate it into memorable events, coordinating all aspects from initial inquiry to post-event follow-up. Key Responsibilities

• Manage all aspects of event planning and execution, from initial client contact to post-event evaluation. Develop event proposals, menus, and floor plans tailored to client needs and budget. Coordinate with internal departments (culinary, A/V, front office, sales) to ensure seamless event delivery. Oversee on-site event execution, ensuring all details are managed efficiently and professionally. Serve as the primary point of contact for clients during the planning process and throughout the event. Conduct site inspections and client meetings, providing expert advice and solutions. Manage event budgets, track expenses, and ensure profitability. Maintain accurate event files and documentation. Handle any issues or challenges that may arise during events promptly and effectively. Foster strong relationships with clients, vendors, and suppliers in Stellenbosch .

Requirements

• Minimum of 3 years of experience in event planning, banqueting coordination, or a similar role within the hospitality industry. Proven ability to manage multiple events simultaneously, with meticulous attention to detail. Excellent organizational, time management, and problem-solving skills. Strong communication, negotiation, and interpersonal skills. Proficiency in event management software and Microsoft Office Suite. Knowledge of menu planning, beverage service, and A/V requirements. Experience working in a hotel or venue setting is essential. A creative mindset with a passion for delivering exceptional event experiences. Flexibility to work irregular hours, including evenings and weekends, as dictated by event schedules.
