Job summary

JLL in New York is seeking an Occupancy Planner to optimize corporate space and drive data-driven seat allocation across portfolios. You will work with CRE teams, finance, and project management to align planning with business objectives and reduce costs while enhancing employee experiences.

You'll develop occupancy scenarios using AutoCAD and Google Sheets, prepare status reports, and forecast space needs while adhering to corporate standards.

Qualifications

• Bachelor's degree in Real Estate, Finance, Architecture, Design, Construction Management, or related field with 3–5 years of corporate experience.
• Advanced skills in Google Sheets (pivot tables, VLOOKUP) and AutoCAD for basic test-fits and square footage calculations.
• Experience with interior office renovations and strategic-level space/occupancy planning in corporate environments.
• Strong written and verbal communication skills with executive-level internal and external clients.
• Proven ability to work independently, multi-task, manage time effectively to meet deadlines, and adapt to changing priorities and requests.

Responsibilities

• Develop seat allocation plans, stack and block exercises, and occupancy scenarios using AutoCAD and Google Sheets to maximize space utilization while ensuring compliance with corporate guidelines and space standards.
• Prepare and update project status reports comparing actual versus projected seat demand, track supply and capacity metrics, and forecast inventory changes using advanced spreadsheet functions and CAFM systems.
• Partner with Corporate Real Estate teams, Business Unit leadership, Corporate Finance, and Project Management to collect headcount forecasts, resolve discrepancies, and align planning strategies with business objectives.
• Recommend, educate, and enforce space policies and procedures while identifying and notifying clients of requested exceptions to established standards and protocols.
• Work with move coordination and facility management teams to develop migration plans, conduct facility audits, and support seamless workplace transitions.
• Collaborate with occupancy planning team members to ensure integrated campus and portfolio-wide strategy development and implementation.
• Present space utilization data and metrics to drive productive space decisions, reconcile top-down and bottom-up projections, and support annual planning horizons.
