Job summary

Qualifications

• 2+ years in administrative or customer service role.
• Fire Protection, Construction, or On-Call Service experience a plus.
• Strong attention to detail and good organizational skills.
• Excellent written and verbal communication.
• Proficiency with MS Word, Excel, Outlook and Teams.

Responsibilities

• Create service work orders as needed.
• Schedule and assist in scheduling inspections and work orders.
• Follow up on prior day service calls for billing readiness.
• Daily billing of service calls and maintain open work orders.
• Manage a high volume of emails and meetings notes.
• Attend service meetings and provide updates/minutes.
• Track materials used on service calls.
• Assist with invoice disputes and resolution.
• Enter contracts for inspections and renewals; generate monthly work orders.
• Update third-party systems with inspection and compliance reports.
• Utilize Service Trade, Great Plains, MS Excel, Teams & Outlook.
• Back-up other administrative roles as needed.
