Job summary

Quanta Infrastructure Solutions Group is seeking a Senior Proposal Coordinator to lead the internal proposal process, ensure security and integrity of documents, and manage the path from inquiry to contract award. You’ll collaborate across proposal, commercial, and technical teams while upholding QA/QC standards and company procedures.

Qualifications

• High School diploma or equivalent; 5+ years of proposal experience.
• Bachelor’s degree in Marketing/Communications, Journalism, English or equivalent; 5+ years in construction industry.

Responsibilities

• Prepares and submits documentation to set-up internal proposal number.
• Detailed review of the inquiry to interpret the scope of work and deliverables.
• Develops the proposal matrix and schedule according to guidelines.
• Establishes electronic file structure, archive, and back-up for all proposal materials.
• Documents electronic proposal file access and tracking protocols for security and integrity.
• Schedules, organizes, and leads internal proposal kick-off meetings with the Technical Proposal Lead and team.
• Liaises with commercial/technical teams and other departments to request required documentation.
• Establishes proposal format reflecting Client requirements and win strategy.
• Coordinates day-to-day proposal preparation and progress meetings; ensures adherence to schedule.
• Identifies problem areas and proposes solutions with stakeholders.
• Ensures proposal is fully compliant with Client requirements and aligns with the estimate basis.
• Coordinates internal flow and approvals prior to submission.
• Acts as Client point of contact; coordinates with sales on formal matters.
• Adheres to internal standards, policies, and procedures.
• Performs special projects and other duties.
