Job summary

Vail Health is seeking a scheduling specialist to coordinate medical appointments, tests, and procedures across providers, locations, and payers. You will handle calls and patient communications while ensuring accurate data entry and HIPAA compliance.

The ideal candidate will have strong administrative experience, knowledge of medical terminology, and proficiency with EHR scheduling software. Remote work is possible for approved states; benefits include PTO and comprehensive insurance.

Qualifications

• Two years of administrative or similar experience (preferred).
• Previous medical office experience (preferred).
• Knowledge of medical terminology (preferred).
• Knowledge of HIPAA compliance requirements (preferred).
• Knowledge of OSHA rules and regulations (preferred).
• Ability to live and work primarily in an approved state for remote roles (if applicable).

Responsibilities

• Schedule medical appointments, tests, and procedures by coordinating patients, providers, locations, and payers.
• Answer and initiate calls with patients, providers, and outside medical offices using scheduling protocols.
• Use EHR scheduling software to accurately book appointments and procedures.
• Direct calls to appropriate parties and take and distribute messages.
• Collect and update patient demographic, contact, and insurance information.
• Manage electronic scheduling requests through drop boxes and patient portals.
• Distribute faxes and help manage related requests.
• Maintain HIPAA compliance and model organizational values and Just Culture principles.
