Job summary

TopDog Law, a nationally scaling personal injury firm, is hiring a Client Success Receptionist to welcome clients and providers, handle calls, and manage time-sensitive mail with care. This fully remote role emphasizes outstanding service, strong communication, and meticulous documentation across systems.

You will route calls, log interactions in Filevine, monitor voicemails, and support office operations with colleagues nationwide.

Qualifications

• High school diploma or equivalent required.
• Previous receptionist, customer service, call center, or administrative experience preferred.
• Excellent verbal and written communication skills.
• Strong organizational skills with exceptional attention to detail.
• Ability to manage multiple priorities in a fast-paced environment.
• Comfortable learning and utilizing technology including Genesys Cloud, Filevine, Microsoft Office, Google Workspace, and other business applications.
• Professional phone etiquette and strong interpersonal skills.
• Ability to maintain confidentiality and handle sensitive information with discretion.
• Strong problem-solving skills and a client-first mindset.
• Ability to work independently while collaborating effectively with multiple departments.
• Prior experience in a legal office or professional services environment is preferred but not required.

Responsibilities

• Answer inbound calls with professionalism, empathy, and urgency.
• Route callers to the appropriate attorney, paralegal, or department.
• Document client interactions and update case information in Filevine.
• Monitor voicemail queues and route messages promptly.
• Protect confidentiality of client and firm information.
• Receive, sort, scan, and distribute mail including legal documents and checks.
• Coordinate with attorneys and staff to deliver documents promptly.
• Prepare overnight shipments and certified mail as needed.
• Maintain mail logs and chain-of-custody documentation.
• Assist with general office duties and inventory management.
• Meet service level expectations for responsiveness and quality.
• Identify opportunities to improve workflows and client experience.
• Support firm-wide initiatives and special projects.
• Perform other client support and admin duties as needed.
