Job Summary
We are seeking a Project Coordinator-Construction for a direct hire opportunity with a construction organization supporting industrial facilities and infrastructure projects in Costa Mesa, CA. This role is ideal for an organized administrative professional who enjoys keeping project details moving, coordinating across teams, and supporting both office and field operations.
The Project Coordinator will work closely with assistant project managers, field technicians, vendors, and internal departments to maintain accurate documentation, purchase orders, invoices, billing records, and project files. Key Responsibilities
- Communicate project updates between office staff, field technicians, vendors, and project leadership.
- Submit, track, and maintain approved project documentation, files, purchase orders, invoices, and billing records.
- Follow up with vendors to confirm documentation, timelines, outstanding items, and project-related details.
- Support assistant project managers with administrative coordination, scheduling support, and project tracking.
- Maintain organized electronic and physical project files using Microsoft Word, Excel, Outlook, and internal processes.
- Help ensure project records are accurate, complete, accessible, and up to date for internal team members.
Compensation and Benefits
- Job Type: Direct Hire.
- Compensation: $70,000 to $80,000 per year.
- Location: Costa Mesa, CA.

Required Qualifications and Skills
- Coordinate administrative support for construction projects from documentation through billing support.
- Track project files, purchase orders, invoices, vendor documentation, and related records.
- Support project managers, field technicians, vendors, and internal teams with timely communication and follow-up.
- Maintain accurate, organized project information to support efficient project execution.
- 3 to 5 years of administrative support, project coordination, or construction administration experience.
- Experience supporting documentation, purchase orders, invoicing, billing records, scheduling, or project tracking.
- Proficiency with Microsoft Word, Excel, Outlook, and general office systems.
- Strong organizational skills with the ability to manage multiple priorities and deadlines.
- Clear written and verbal communication skills for working with office teams, field personnel, and vendors.
- Detail-oriented, dependable, and comfortable following established processes in a fast-paced construction environment.
Preferred Qualifications
- Experience in construction, industrial facilities, infrastructure, engineering, field services, or a related project-based environment.
- Familiarity with construction project documentation, vendor coordination, and project file management.
- Ability to work effectively with cross-functional teams, including project managers, technicians, accounting, and operations staff.
