Qualifications

• 1–3 years in HR, People Ops, recruiting coordination, or related admin role; healthcare background a plus.
• Strong organizational skills with ability to manage multiple schedules and priorities.
• Excellent written and verbal communication skills.
• High discretion handling confidential information.
• Comfortable making outbound calls to third parties (references, tax agencies, vendors).
• Proficiency with common HR/ATS tools; Ashby and Rippling a plus.

Responsibilities

• Schedule interviews across multiple time zones and calendars, coordinating with candidates, hiring managers, and interview panels.
• Send timely follow-ups to candidates, interviewers, and hiring managers to keep the process moving.
• Track interview stages and flag delays or scheduling conflicts.
• Assist with posting job requisitions across job boards and careers pages; update and close roles as filled.
• Conduct reference checks for candidates in final stages, verifying references.
• Assist with initiating and reviewing background check requests through third-party vendors, escalate discrepancies.
• Manage and triage the shared People Operations inbox, responding to routine inquiries.
• Assist with leave management tasks, including tracking requests and updating records.
• Contact tax agencies as needed to resolve payroll or tax-related matters.
• Respond to unemployment, state forms, and other third party/state requests.
• New hire onboarding, background checks, licensure support, I-9 administration, orientation calls.
• HR/People Ops platform administration including HRIS, recognition platform, internal site upkeep.
• Support other ad hoc People Ops projects and tasks as assigned.
