Job summary

Vynca Inc. is seeking a detail-oriented People Operations Coordinator to support HR and Talent teams, ensuring smooth hiring processes and accurate administration. The role emphasizes proactive communication, coordination across time zones, and discreet handling of confidential information.

Ideal candidates will manage interview schedules, assist with postings, background checks, and onboarding. Prior experience in healthcare HR is a plus, with preference for those in Pacific or Central Time

Qualifications

Minimum 1–3 years in HR, People Operations, or related administrative role.
Ability to manage multiple schedules and priorities.
Strong written and verbal communication; discretion with confidential information.
Comfort with external outreach to references, vendors, and tax agencies.

Responsibilities

Schedule interviews across multiple time zones and calendars with candidates, hiring managers, and panels.
Send timely follow-ups to keep the hiring process moving.
Track interview stages and flag delays or conflicts.
Post job requisitions and manage updates as roles change or are filled.
Conduct reference checks and verify references.
Initiate and track background checks with third-party vendors; escalate discrepancies.
Manage the shared People Operations inbox and route inquiries.
Assist with leave management, records updates, and documentation.
Coordinate payroll/tax-related administrative tasks with tax agencies.
Respond to unemployment and state agency requests.
Support new hire onboarding, I-9 administration, and orientation calls.
Administer HRIS and internal platforms.
