• Experience in medical scheduling or a high-volume administrative environment preferred.
• Ability to use EHR, scheduling, telephone, email, and standard office software; willingness to learn systems.
• Knowledge of medical terminology, insurance processes, referrals, and authorizations preferred.
• Clear verbal and written communication skills and discretion with confidential information.

Responsibilities

• Schedule, confirm, reschedule, and cancel patient appointments using established protocols.
• Enter patient demographics, contact, medical, referral, and appointment information accurately.
• Explain forms and instructions; assist patients with completing information as needed.
• Verify and update insurance, referrals, and authorization details.
• Match patients with appropriate provider, location, and appointment type/time.
• Prepare and distribute daily schedules and communicate changes promptly.
• Maintain confidential patient records in EHR and scheduling systems.
• Answer calls, respond to inquiries, route messages, and provide courteous service.
• Support front desk operations including check-in/check-out and document collection.
• Coordinate with clinical, billing, referral, and administrative teams to support patient flow.
