Job summary

Turnwell Mental Health Network is seeking a Patient Support Specialist to be the face of the clinics, handling front desk operations, patient check-in, billing, and scheduling with a patient-centered approach.

You will support chart accuracy, HIPAA compliance, and cross-train for clinical tasks to ensure seamless care when staff are unavailable. This in-person role emphasizes empathy and efficient patient experiences at multiple clinic locations.

Qualifications

• High school diploma or equivalent required; an associate degree is preferred.
• 1–2 years of experience in front office, patient access, or a healthcare customer service role.
• Proficiency with Electronic Health Record (EHR) systems; experience with psychiatric EHR platforms is a plus.
• Strong verbal and written communication with a professional, empathetic demeanor.
• Ability to manage multiple tasks in a fast-paced environment while maintaining accuracy and attention to detail.
• Knowledge of HIPAA regulations and patient privacy requirements.

Responsibilities

• Greet and welcome patients in a warm, professional manner.
• Manage patient check-in, verify demographics and insurance details, and collect forms or consents.
• Send appointment reminders via phone, text, or patient portal; answer and route calls.
• Schedule follow-up appointments as directed by clinical staff.
• Collect co-pays and patient payments at the time of service.
• Maintain organized, patient-ready front office; handle faxes, voicemails, and messages.
• Perform pre-visit chart audits to ensure complete, accurate records before appointments.
• Maintain accurate EHR records and support release of information per HIPAA.
• Support medical records requests and HIPAA-compliant processes.
• Cross-train in clinical support tasks to assist when Medical Assistant is unavailable.
• Escort patients to treatment areas and assist with patient comfort and safety.
• Triage patient questions to the appropriate provider and document accordingly.
