Qualifications

• High School graduate or GED.
• 1 year physician practice experience.
• On-site training provided for one week.
• Experience in a medical office and using scheduling systems preferred.

Responsibilities

• Greet patients in person or by phone and update insurance/demographics in the practice management system.
• Verify insurance and ensure physicians accept the insurance presented.
• Communicate patient arrival status to staff and ensure medical records are available.
• Process HIPAA-related paperwork and other institutional forms as needed.
• Collect referrals or insurance authorizations as required.
• Monitor waiting room and inform patients about wait times.
• Collect co-pays per billing directions and provide receipts.
• Schedule follow-up appointments and provide records request guidelines.
• May perform simple charge entry or cash deposits as needed; duties may be split.
• Answer phones and schedule appointments.
• Follow HIPAA and state regulations for PHI handling.
• May initiate reminder calls for next-day appointments.
• Perform other related duties.
