Job summary

Qualifications

• Greet patients in person or by phone and update demographics/insurance in the PM system.
• Verify insurance prior to visit or at arrival to ensure coverage.
• Collect co-pays and provide receipts under billing guidance.
• Schedule follow-up appointments and provide records requests guidelines.
• Answer phones and schedule appointments; maintain PHI per HIPAA rules.
• May perform simple charge entry or process payments; duties are mutually exclusive.
• Comply with HIPAA and PHI handling requirements.
• Experience with a medical office and practice management systems (IDX preferred).

Responsibilities

• Greet patients and update demographics/insurance in the practice management system.
• Verify insurance coverage prior to or at patient arrival.
• Communicate patient status to appropriate staff and ensure medical records are prepared.
• Process HIPAA-related paperwork and other forms as needed.
• Collect co-pays and provide receipts; assist with cash-control processes.
• Schedule follow-ups and provide records-request guidance as needed.
• Answer calls and manage appointment scheduling; maintain patient privacy.
• Perform basic charge entry or payments processing when assigned.
• Initiate reminder calls for next-day appointments when appropriate.
• Adhere to all HIPAA and regulatory requirements for PHI handling.
