Job summary

Vincent Team Orthodontics in Sandy, UT is seeking a Patient Coordinator to manage scheduling, patient flow, and administrative tasks. You will coordinate between providers and patients to ensure a smooth care experience and accurate record-keeping.

The role focuses on organizing appointments, communicating preparation and financial expectations, and supporting the clinical team. Prior dental scheduling experience is a plus; strong interpersonal skills are essential.

Qualifications

• High school diploma or equivalent required.
• Experience in dental or healthcare scheduling preferred.
• Strong organizational and multitasking skills.
• Excellent communication and patient service skills.
• Familiarity with dental practice management software (Dentrix, Eaglesoft) is a plus.

Responsibilities

• Schedule all patient appointments with accurate times and operatory needs.
• Ensure appointments are spaced appropriately with provider availability.
• Coordinate pre-appointment and follow-up visits as directed.
• Contact patients to confirm appointments and provide prep instructions.
• Communicate preparation, financial expectations, and timelines clearly.
• Address patient questions and concerns professionally and compassionately.
• Ensure documentation including consent forms and medical histories is uploaded.
• Verify referrals and obtain insurance authorizations as needed.
• Maintain appointment calendar and alert management of conflicts.
• Monitor and reorder supplies to support daily operations.
• Assist patients at check-in and check-out as needed.
• Support administrative projects and provide coverage during busy periods.
• Participate in staff meetings and training sessions.
• Perform other duties assigned by management.
