Job summary

CarMax reconditioning centers are where we recondition vehicles prior to sale. As a Management Assistant, you will support location operations by helping managers with hiring, onboarding, and orientation for new associates.

You will also manage key administrative tasks, including paperwork, system updates, uniform and safety equipment ordering, and required safety and certification training. Some reconditioning centers also host wholesale auctions for licensed dealers; at those locations, you

Qualifications

• Ability to read, interpret, and transcribe data for record-keeping.
• Strong organizational skills with attention to detail in deadline-driven environments.
• Proficiency in word processing, spreadsheets, and intermediate PC skills.
• Effective communication with customers and associates in person, by phone, and in writing.
• Ability to multitask and prioritize in a fast-paced production setting.
• Ability to lift objects up to 20 lbs.
• Comfort working in an active reconditioning facility with PPE compliance.
• Maintain confidentiality of associate records and reports.
• Flexible to work varied schedules, including nights, weekends, and holidays.

Responsibilities

• Coordinate hiring and onboarding processes, including scheduling interviews and managing applicant records in Workday.
• Facilitate new associate orientation and maintain personnel files.
• Complete I-9 and badge issuance coordination.
• Administer uniform and PPE programs, including sizing and distribution records.
• Follow EH&S requirements and maintain a clean work area.
• At locations with Auctions Operations, process auction paperwork and handle cash management tasks.
• Provide additional administrative support as assigned by the Operations Manager.
