Job summary

CarMax reconditioning centers are seeking a Management Assistant to support location operations by helping managers with hiring, onboarding, and orientation for new associates. You will manage administrative tasks, paperwork, system updates, PPE orders, and training records in a fast-paced environment near Richland, MS.

Some locations also handle auction paperwork and cash handling. Role requires strong organizational skills, data transcription abilities, and effective communication with staff

Qualifications

• Ability to read, interpret, and transcribe data for records accurately.
• Strong organizational skills and attention to detail in a deadline-driven setting.
• Proficiency with word processing and spreadsheets; good PC skills.
• Effective communication with customers and associates in person, by phone, and in writing.
• Ability to multitask and prioritize in a fast-paced environment.
• Capable of lifting up to 20 lbs and complying with PPE requirements.

Responsibilities

• Coordinate hiring and onboarding, schedule interviews, prepare docs, and maintain applicant records.
• Facilitate new associate orientation and ensure timely completion of required documentation.
• Complete I-9 verification, badge issuance, and system access coordination.
• Administer uniform and PPE programs, including sizing, ordering, and distribution records.
• Follow EH&S requirements and maintain a clean, orderly work area.
• Support Auctions Operations by processing paperwork, DMV docs, dealer registration, and cash handling when applicable.
• Provide additional administrative support as assigned by the Operations Manager.
