Job summary

CarMax El Mirage, a reconditioning center, is seeking a Management Assistant to support operations by assisting managers with hiring, onboarding, and orientation for new associates. You will also manage administrative tasks, paperwork, system updates, uniform and PPE ordering, and required safety training.

Some locations include Auctions Operations; at those sites you will handle vehicle paperwork, cash handling, and deposits. This role may be full-time or part-time depending on the location.

Qualifications

• Ability to read, interpret, and transcribe data for record-keeping.
• Strong organizational skills and attention to detail in a deadline-driven environment.
• Proficiency in word processing and spreadsheets; intermediate PC skills.
• Effective communication with customers and associates in person, by phone, and in writing.
• Ability to multitask and prioritize in a fast-paced environment.
• Ability to lift up to 20 lbs.
• Experience with PPE and safety standards in an active facility.
• Maintain confidentiality of associate records.
• Flexible to work varied schedules, including nights, weekends, and holidays.

Responsibilities

• Coordinate hiring and onboarding processes, including scheduling interviews.
• Facilitate new associate orientation and maintain personnel files.
• Complete I-9 and coordinate badge issuance and system access.
• Administer uniform and PPE programs, including ordering and records.
• Follow EH&S requirements and maintain a clean work area.
• Process auction paperwork and cash handling at locations with Auctions Operations.
• Provide additional administrative support as assigned by the Operations Manager.
