Job description
Our client, a premiere international law firm, is seeking an Office Services Coordinator to join the team. This position is 5 days a week on-site at their beautiful office in Manhattan.Job Responsibilities
Manage the Office Services team and prioritize the team’s tasks daily
Collaborate with other coordinators to provide assistance with meeting room bookings, room stocking, set up, clean up, etc.
Work with Facilities Supervisor to coordinate events and large meetings
Provide support for firm events (set-up, clean-up, etc)
Maintain supply inventory and order as needed
Organize supply rooms, pantries, closets, and storage
Maintain cleanliness of hoteling offices
Review and submit vendor invoices
Assist with finance related tasks as needed
Develop manuals and guides for the Office Services Department
Maintain electronic records in the document management system
Provide clerical support
Scan and digitize documents
Travel to and liaise with vendors as needed
Place service calls as needed for different facilities needs
Provide Notary and witness services
Perform other duties as assigned
Skills and Qualifications
Bachelor’s Degree
3 – 5 years of experience, preferably in a law firm, financial services, or other professional services environment
Flexibility to work overtime as needed
Proficient in Microsoft Office Suite
Ability to work across different devices as well as with digitizing tools
Strong interpersonal, written, and verbal communication skills
Ability to lift and carry boxes weighing up to 30 pounds as well as reach shelves up to 8 feet high
Ability to travel to different locations to assist with client and firm needs
Attention to detail and organizational skills
