Operating Under the direction of the Chief of Staff in the College of Food, Agricultural, and Environmental Sciences (CFAES), the Office Manager for the Office of the Vice President and Dean serves as the primary administrative support for the Dean’s suite.
Serves as first point of contact to welcome and receive all guests and visitors; ensures reception coverage at all times coordinating coverage over break periods and leave; answers main phone line for the college, investigates inquiries, and triages callers to other units and departments as appropriate; schedules and maintains the executive board room including assisting with meeting prep, setup and cleanup, and providing general technical support. Inventories office supplies, promotional items and publications; orders supplies and promotional items as needed in consultation with office staff and team members; tracks promotional item distribution per university policy and coordinates with HR/Finance to report as required; maintains storeroom, workroom, and kitchenette, replenishing supplies and maintaining organization and cleanliness; arranges travel upon request for college leaders and college hosted visitors; initiates expenditures, files expense reports, and manages procurement card for office purchasing needs; may assist with preparing briefings and materials for VP/Dean and Chief of Staff; requests IT support/service and reports IT issues to OCIO as needed; sorts and distributes mail; provides general administrative support to managers, as directed by the Chief of Staff, including scheduling meetings and assisting with meeting and event preparation; supervises and manages student employees that provide general office support for suite; assists with staffing college-level events as requested to help with registration, greeting guests, wayfinding, or other host tasks, occasionally outside normal working hours; serves as the designated building coordinator for the Agricultural Administration Building – is the point of contact for building occupants to communicate facility information, serves as the contact for maintenance requests, is familiar with the building entrances, access controls, doors, and key systems, is familiar with the building, occupants, special department equipment and areas, works closely with facilities operations and development; manages key control for the Dean’s Office requesting brass keys and Lenel access for employees as appropriate; assists with other duties as assigned. Supervises 1-3 students.
The pay range for this job profile is $18.56 - $24.09.
