Position Overview
We are seeking a highly organized, proactive, and service-oriented Office Manager to oversee the day-to-day operations of our clients New York City office while serving as a backup to the Executive Assistant team as needed. This role will be responsible for creating a seamless office experience for employees, visitors, and leadership while ensuring administrative, operational, and cultural initiatives are executed efficiently.
The ideal candidate is a polished professional who thrives in a fast-paced environment, enjoys wearing multiple hats, and can seamlessly shift between office operations, event coordination, vendor management, and executive support responsibilities.
Key Responsibilities
- Oversee daily office operations and ensure the workplace is well-maintained, organized, and operating efficiently.
- Manage relationships with building management, vendors, suppliers, and service providers.
- Coordinate office maintenance, repairs, security access, and workplace safety initiatives.
- Maintain office inventory, including supplies, equipment, and pantry stock.
- Lead onboarding logistics for new hires, including workspace setup, office orientation, and facility access.
- Partner with HR and leadership to support employee engagement initiatives, company events, and office culture programs.
- Manage conference room scheduling and ensure meeting spaces are prepared and properly equipped.
- Track office budgets, process invoices, and monitor vendor expenses.
- Provide backup administrative support to senior executives during absences, peak periods, or special projects.
- Manage calendars, coordinate meetings, and assist with scheduling across multiple stakeholders.
- Arrange domestic and international travel, including flights, hotels, transportation, and itineraries.
- Prepare meeting materials, presentations, agendas, and expense reports.
- Support executives with confidential correspondence and administrative requests.
- Assist with board meetings, leadership offsites, and company-wide events as needed.
Events & Workplace Experience
- Plan and coordinate office meetings, team celebrations, employee recognition programs, and corporate events.
- Assist in organizing executive meetings, town halls, and client-facing events.
- Serve as the primary point of contact for office visitors and external guests, ensuring a professional and welcoming experience.
Qualifications
- Bachelor's degree preferred.
- 5+ years of office management, workplace experience, executive assistant, or administrative operations experience.
- Prior experience supporting senior executives or C-suite leadership strongly preferred.
- Exceptional organizational, multitasking, and project management skills.
- Strong communication and interpersonal skills with a customer-service mindset.
- Ability to handle sensitive and confidential information with discretion.
- Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) and workplace collaboration tools.
- Experience managing vendors, budgets, and workplace operations.
- Comfortable working onsite in a fast-paced, collaborative environment.

Compensation: $115,000 - $125,000 base salary plus bonus potential, comprehensive benefits, PTO, and additional employee perks.
