Position Overview
We are seeking a highly professional, resourceful, and proactive Executive Assistant to provide comprehensive support to a CEO overseeing multiple businesses and business interests. This is a high-visibility role requiring exceptional organizational skills, sound judgment, discretion, and the ability to manage competing priorities in a fast-paced environment.
The ideal candidate thrives in an entrepreneurial setting, anticipates needs before they arise, and serves as a trusted partner to the CEO. Flexibility, responsiveness, and a commitment to excellence are essential, including occasional availability outside of standard business hours when urgent matters arise.
Key Responsibilities
Executive Support
- Manage complex calendars across multiple businesses, ensuring priorities are aligned and scheduling conflicts are resolved proactively.
- Coordinate and arrange domestic and international travel, including itineraries, transportation, lodging, and meeting logistics.
- Prepare and organize meeting materials, presentations, reports, and correspondence.
- Screen and prioritize communications, ensuring timely follow-up on critical matters.
- Track action items, deadlines, and deliverables, ensuring accountability and execution.
Business Operations & Coordination
- Serve as a liaison between the CEO and internal teams, external partners, clients, vendors, and key stakeholders.
- Coordinate meetings, conferences, and special events across multiple business entities.
- Assist with project management initiatives and strategic business priorities.
- Conduct research, gather information, and prepare summaries to support business decisions.
- Maintain organized systems for documents, records, and confidential information.
- Travel with and/or on behalf of the CEO as needed, approximately 4-5 times per year, to support business meetings, conferences, site visits, executive events, and other company initiatives.
Administrative Management
- Manage expense reports, invoices, and financial documentation as needed.
- Support contract administration and document preparation.
- Handle highly sensitive and confidential matters with professionalism and discretion.
- Assist with special projects and ad hoc assignments as directed by the CEO.
Qualifications
- Bachelor's degree preferred or equivalent combination of education and experience.
- 5+ years of Executive Assistant experience supporting senior executive leadership, ideally a CEO, President, Founder, or business owner.
- Experience supporting multiple business entities, entrepreneurs, or family-owned organizations is highly preferred.
- Strong proficiency in Microsoft Office Suite, including Outlook, Word, Excel, PowerPoint, and Teams.
- Exceptional organizational, multitasking, and time-management skills.
- Excellent written and verbal communication abilities.
- Proven ability to exercise sound judgment and maintain strict confidentiality.
- Ability to work independently while managing multiple priorities with minimal supervision.
- Korean language proficiency is a plus.
