LHH Recruitment Solutions is seeking an experienced Senior Executive Assistant on behalf of a mission-driven organization in New York City. This position will provide high-level executive and administrative support to two members of the organization’s C-suite leadership team, including a Chief-level Communications & Marketing executive and the CFO.
The ideal candidate is a polished, highly organized executive support professional who exercises excellent judgment, anticipates needs, manages competing priorities with ease, and is comfortable operating in a fast-paced, highly confidential environment.
Key Responsibilities
Serve as a key point of contact for internal and external stakeholders on behalf of senior executives
Manage complex calendars, scheduling, meeting coordination, and changing priorities
Monitor and prioritize correspondence and ensure time-sensitive matters receive appropriate follow-up
Draft and proofread executive correspondence, communications, reports, presentations, and other materials
Coordinate meetings from start to finish, including agendas, materials, conference logistics, technology, and catering
Manage executive travel arrangements and related logistics, including travel associated with Board and committee meetings
Prepare and process expense reports
Communicate effectively with executive leadership, direct reports, clients, vendors, partners, and other stakeholders
Track executive deliverables, administrative priorities, and deadlines to ensure timely completion
Conduct research and summarize findings as needed
Handle confidential and sensitive information with the highest level of discretion
Independently manage special projects and additional executive support needs from conception through completion
Qualifications
Minimum of 4 years of experience supporting C-suite or senior executive leadership
Bachelor’s degree preferred
Demonstrated experience managing complex executive calendars, meetings, travel, correspondence, and expenses
Exceptional written communication, grammar, proofreading, and editing skills
Strong judgment and ability to anticipate needs and prioritize with limited supervision
Excellent organizational, time-management, and follow-through skills
Strong interpersonal skills and ability to interact professionally with senior leaders and external stakeholders
Advanced proficiency with Microsoft Outlook, Word, Excel, and PowerPoint; Adobe/Acrobat experience preferred
Ability to work effectively under pressure while managing multiple deadlines and confidential matters
Experience within a legal, nonprofit, advocacy, or similarly mission-driven environment is a plus
Flexibility to accommodate the needs of senior executives when necessary
