Job summary

Confluence Health is seeking a patient-focused scheduling coordinator to support specialty appointments, medication refills, and information requests through telephone and MyChart, coordinating with multiple departments to ensure efficient access to clinical resources. The role emphasizes empathy, problem-solving, and attention to detail within Epic workflows.

The ideal candidate demonstrates strong communication, teamwork, and meticulous scheduling accuracy, reporting to the Practice Manager.

Qualifications

• High School Diploma or equivalent required.
• Experience in medical office or clinical support preferred.
• Excellent oral and written communication skills.
• Proficient data entry and basic computer skills.

Responsibilities

• Serve as the first point of contact for patients seeking specialty care via phone, MyChart, and other channels.
• Schedule and cancel specialty appointments and procedures per department workflows.
• Ensure correct location assignment for procedures and coordinate with departments as needed.
• Communicate appointment details, prep instructions, and documentation to patients.
• Update patient demographics in Epic and promote MyChart enrollment.
• Act as liaison between patients and clinical teams; relay messages and coordinate follow-ups.
• Support medication refill processes by coordinating with pharmacies and submitting requests.
• Apply de-escalation techniques and escalate crises when necessary.
• Balance provider schedules by considering availability and patient preferences.
• Review referral docs and ensure all information is captured in Epic prior to scheduling.
• Maintain accurate documentation of scheduling activities and interactions.
• Exercise independent judgment in triaging concerns and scheduling pathways.
