Job summary

Confluence Health is seeking a Patient Access Specialist to support specialty appointment scheduling, medication refills, and information requests via telephone, MyChart, and other channels. You will coordinate multiple providers’ schedules, ensure accurate location assignments, and assist with patient documentation to enable timely visits.

Qualifications

• Minimum 1 year experience in a medical office or clinical support setting.
• Excellent interpersonal and communication (oral and written) skills.
• Proficiency in data entry, numeric typing, and computer navigation.
• Familiarity with scheduling workflows across multiple specialty departments.
• Knowledge of standard office equipment (phones, computers, printers, etc.).

Responsibilities

• Serve as the first point of contact for patients via phone, MyChart, and other platforms.
• Schedule and cancel specialty appointments/resources (non-surgeries).
• Ensure patients are scheduled at the correct location and department.
• Communicate appointment details and prep instructions to patients.
• Update patient demographics in Epic; promote MyChart enrollment.
• Coordinate with clinical teams and relay messages for follow-ups.
• Assist with medication refill processes and pharmacy communication.
• Manage concerns with de-escalation and escalate when needed.
• Balance provider schedules and allocate appointments by availability and preference.
• Review referrals and ensure necessary information is documented in Epic.
• Maintain accurate documentation of scheduling activities and interactions.
