Job summary

Smith Seckman Reid, Inc. seeks a Medical Equipment Project Coordinator to keep design and procurement on track. You will update ESP data, coordinate vendors and meetings, and support planners and the Revit team while producing accurate reports across design and procurement phases.

You’ll develop client materials, maintain data in ESP, and help manage budgets, folders, and procurement scheduling with attention to detail and strong collaboration skills.

Qualifications

• Bachelor’s degree in a relevant field or 3+ years of related experience.
• Strong Microsoft Office skills; familiarity with databases and inventory practices.
• Ability to read plans in Revit and AutoCAD; hospital/clinic procedure knowledge.
• Clear written communication, active listening, precise note-taking and proofreading.
• Detail-oriented, organized, with the ability to manage multiple activities.

Responsibilities

• Update ESP data and coordinate vendors and meetings to keep projects moving.
• Support Medical Equipment Planners and Revit team; assist in presentations.
• Create and maintain the Medical Equipment Responsibilities Matrix for project trackers.
• Set up client folders; maintain organized filing for submittals and drawings.
• Prepare budget summaries, room reports, and owner/client reports.
• Coordinate with medical equipment, IT and furniture vendors for data entry into ESP.
• Attend meetings, take notes, and log actions in ESP and trackers.
• Arrange site visits, inventories, and move-management logistics; support procurement schedules.
