Job summary

Smith Seckman Reid, Inc (SSR) seeks a Medical Equipment Project Coordinator to keep projects moving by updating ESP data, coordinating vendors and meetings, and supporting planners and Revit across design and procurement phases.

You will review documents, prepare budget summaries and client deliverables, coordinate with medical equipment and IT vendors, and help log changes in ESP and trackers, with opportunities for growth in a 100% employee-owned firm.

Qualifications

• Bachelor's degree OR 3+ years of computer database or related experience
• Thorough knowledge of Microsoft Office; familiarity with databases and inventory practices
• Clear written communication, speech clarity, and active listening; accurate notetaking and proofreading
• Detailoriented organization with sound judgment and decisionmaking; able to orchestrate multiple activities at once
• Customer-focused collaborator with strong interpersonal skills and a service mindset
• Ability to read plans in Revit and AutoCAD

Responsibilities

• Update ESP data and coordinate vendors and meetings across design and procurement phases
• Review drawings with Medical Equipment Planners for dimensional accuracy and documentation; track timelines for deliverable updates
• Develop project team presentation materials and client-facing deliverables
• Create/update the Medical Equipment Responsibilities Matrix and distribute to the project manager and client
• Prepare budget summaries, room reports, and other reports for owners, architects, and project managers
• Coordinate with medical equipment, IT, and furniture vendors to add technical data into ESP
• Build new client functional programs in ESP and maintain project data
• Prepare bidders lists for procurement; support RFP/RFI development and responses with the Medical Equipment Planner
• Attend meetings, take notes, produce minutes, and update ESP and trackers
• Arrange site visits, inventories, movemanagement logistics; support procurement schedules and delivery/installation coordination
• Follow up with Revit team on equipment drawings; learn basic Revit tasks to move/add/delete families and log changes
