Job summary

Aalyyria Technologies, Inc. is seeking a detail-oriented Recruiting Coordinator to join our People Operations team in San Francisco. You will own end-to-end interview scheduling across all functions and serve as a key contact for external staffing agencies.

You will collaborate with recruiters and hiring managers to maintain a high-volume requisition pipeline, ensure timely panels and materials, and help create a polished experience for candidates and interviewers alike.

Qualifications

• 3+ years of experience in recruiting coordination, HR coordination, executive/administrative support, or similarly detail-driven operational roles.
• Exceptional organizational skills and ability to juggle high volume of moving parts without dropping details.
• Strong written and verbal communication; professional representation to candidates, interviewers, and agencies.

Responsibilities

• Own interview scheduling end-to-end across all open requisitions, including complex, multi-panel loops across time zones and calendars.
• Partner with recruiters and hiring managers to confirm interview panels, prepare interview kits, and ensure context/materials are ready.
• Serve as primary candidate contact, communicating logistics clearly to create a professional experience.
• Manage relationships with external staffing agencies, coordinate submissions, updates, and fee/terms with Head of People Operations.
• Maintain accurate candidate and requisition records in Rippling ATS and centralized tracking system.
• Troubleshoot scheduling conflicts and last-minute changes to keep stakeholders aligned.
• Assist onboarding of interviewers to tools and processes, including shadowing coordination.
• Track scheduling metrics to identify process bottlenecks and opportunities to improve.
