Job summary

Insomniac, Inc. is seeking a Production & Operations Project Manager in a hybrid remote role, with on-site presence as needed. You will lead budgeting, logistics, and cross-department coordination for large-scale events, from planning through post-event close-out.

The role requires 5+ years in live-events, strong Excel and project management skills, and the ability to manage vendors, schedules, and safety protocols across multiple venues. Travel and irregular hours are expected.

Qualifications

• 5+ years in event production, operations, or project management.
• Strong budgeting, forecasting, and budget reconciliation knowledge.
• Proficiency with project management tools (Asana/Smartsheet).
• Familiarity with CAD designs, site planning, and security protocols.
• Strong leadership and cross-functional communication skills.
• Able to work irregular hours including nights/weekends.
• Experience with Excel and production software.

Responsibilities

• Create and maintain the Topline Budget using historical data.
• Develop and update the Budget Master with producer approvals.
• Distribute budget breakouts and manage the Purchase Tracker.
• Track budget deadlines and ensure adherence to timelines.
• Collaborate with Finance and Producers for reporting and overage approvals.
• Maintain Advances & Contacts Sheet for vendor bookings.
• Schedule and facilitate department head meetings; coordinate department advances.
• Develop and manage a master Global Build Schedule; ensure rosters and signage are updated.
• Finalize CCTV placement and IT requirements; oversee security audits and DOT maps.
• Coordinate nightly briefings and industry guest lists; manage on-site support.
• Lead daily production meetings during load-in and dispatch coordination.
• Oversee and organize on-site safety briefings; identify improvement areas.
• Serve as main contact for venue relations, permitting, and community relations.
• Collaborate with Site Experience for signage approvals and event maps; coordinate with public safety.
• Communicate updates to CAD designers; maintain accurate site layouts.
