Job summary

AbbVie is seeking a Pubs Ops Associate to provide operational support to the Global Scientific Publications (GSP) Team. You will route IIS, LP and PAA publications and manage Author Master Agreements, author debarment checks, and congress calendar maintenance.

You will create and track Datavision records, monitor the inbox, resolve issues, and coordinate QR code creation for congress posters with medical writers and agency partners.

Qualifications

• High School Diploma required.
• Associate or bachelor’s degree in health-related, business and/or finance field preferred.
• At least 2 years of experience in data entry, clerical, document specialist, or reconciliation role.
• Must have demonstrated ability in project management skills, effective communication, and relationship management abilities.
• Process oriented, able to manage multiple projects concurrently, and reassess priority of simultaneous projects/deadlines.
• Must have attention to detail along with an understanding of the quality/compliance environment.
• Customer support focused expertise is highly desirable.
• Ability to manage internal and external relationships effectively and independently.
• Proficient in Microsoft Office suite, SharePoint / database, internet tools.

Responsibilities

• Intakes IIS and PAA publications in partnership with the study management team and routes submissions for approval through Datavision, the document retention and management system.
• Intakes publications from licensing partners in partnership with GSP Publication Leads and routes submissions for approval through Datavision.
• Coordinates Author Master Agreements with external authors at the direction of GSP Publication Leads, Medical Writers, and agency partners; files agreements in the electronic system; and tracks status, including upcoming expirations.
• Creates Datavision records for agency partners to support publication workflow tracking and management.
• Monitors the Datavision support inbox; triages and resolves technical and user issues in a timely manner; escalates to the software support team as needed; and tracks issues through resolution.
• Intakes requests to create QR codes for congress poster presentations and shares them with the appropriate medical writers and agency teams.
• Access and distributes contracts and study documents upon request.
