Job summary

AbbVie is seeking a Pubs Ops Associate to provide operational support to the Global Scientific Publications team in Irvine. You will route IIS, LP and PAA publications, manage AMA documents, and ensure proper author debarment checks and congress calendar maintenance.

The role emphasizes cross-functional collaboration, attention to detail, and timely processing of publications and agreements, with a strong emphasis on compliance and data integrity.

Qualifications

• High School Diploma required.
• Associate or bachelor’s degree in health-related, business and/or finance field preferred.
• At least 2 years of data entry, clerical, document specialist, or reconciliation experience.
• Strong project management, communication, and relationship management skills.
• Process oriented with ability to manage multiple projects and deadlines.
• Attention to detail with quality/compliance focus.
• Customer support experience is desirable.

Responsibilities

• Intakes IIS and PAA publications with study management and routes submissions for approval via Datavision.
• Intakes publications from licensing partners and routes for approval via Datavision.
• Coordinates Author Master Agreements with external authors and tracks expirations.
• Creates Datavision records for agency partners to support workflow tracking.
• Monitors Datavision support inbox and triages issues; escalates as needed.
• Intakes requests to create QR codes for congress posters and shares with writers and agency teams.
• Distributes contracts and study documents upon request.
