Job summary

AbbVie is seeking a Senior Specialist, Publication Operations to provide operational support for the Global Scientific Publications (GSP) Team. You will manage vendor contracts, budgeting, and reporting, coordinating with Outsourcing, GMO, Finance, and other groups to ensure timely completion of poster printing, QR codes, and congress calendars.

Qualifications

BA/BS required with science, healthcare, business, or PM focus.
At least 2 years in data entry, clerical, document control, or reconciliation.
4+ years preferred in project/process management and publications management.
Excellent organizational and oral/written communication skills.
Detail-oriented with ability to manage multiple projects and deadlines.
Proficient in Microsoft Office, SharePoint, and databases.

Responsibilities

Support all vendor and contracts for GSP (creation, tracking, billing) – accurate for monthly budget forecast.
Train vendors on policies and procedures and maintain relationships (health checkups, billing timelines, record completion).
Performs invoice analysis and budgetary reconciliation across GSP.
Facilitates interpretation and understanding of data; identifies issues, cost savings and adjustments in LBE meetings.
Compiles data and reports metrics and KPIs from various sources and prepares routine and ad hoc reports.
Creates yearly congress calendars and trackers and creates and manages QR codes for scientific posters.
