Job summary

CBRE Group, Inc. in San Francisco is seeking a Facilities Coordinator to support one of our largest technology clients in a high-rise, dynamic environment.

You will partner with Facilities Managers, clients, vendors, and contractors to ensure seamless daily operations and a safe, high-performing workplace. Responsibilities include monitoring work orders, dispatching tasks, generating purchase orders, and processing vendor invoices.

Qualifications

  • High School Diploma or GED with a minimum of 2 years of job-related experience in facilities.
  • Some exposure to finance-related tasks required. Experience with purchase order creation and invoice process preferred.
  • Must be self-sufficient and can work independently. Resourceful and proactive in seeking clarification when needed.
  • Must possess strong attention to detail.
  • Ability to follow basic work routines and standards in the application of work.
  • Communication skills to exchange straightforward information.
  • Experience using a CMMS is required.
  • Strong organizational skills with an inquisitive mindset.
  • Demonstrated customer service abilities are required.
  • Basic math skills. Ability to calculate simple figures such as percentages, discounts, and markups.
  • Ability to safely lift and carry up to 30 lbs.
  • Comfortable performing basic facilities maintenance tasks such as hanging pictures, assembling small office items or tightening screws.
  • Applicants must be currently authorized to work in the United States without the need for visa sponsorship now or in the future.

Responsibilities

  • Monitor the status of open work orders to ensure timely completion and closure.
  • Dispatch work orders to technicians and vendors.
  • Generate purchase orders within designated software programs.
  • Assist with processing incoming vendor invoices, ensuring accuracy.
  • Work with landlords, tenants, and service providers to ensure procedures and reporting formats are followed.
  • Acknowledge and address client inquiries related to the site and respond promptly.
  • Review work orders, proposals, department files, and paperwork submitted by vendors.
  • Conduct site walkthroughs to identify and address issues.
  • Follow instructions, short correspondence, and memos and ask clarifying questions.
  • Respond to common inquiries or complaints from clients, co-workers, and supervisors.
  • Use existing procedures to solve straightforward problems with limited discretion.
  • Deliver output by following defined procedures under supervision.

About the Role:

Join CBRE as a Facilities Coordinator and play a key role in supporting one of our largest technology clients in the heart of San Francisco. In this high‑rise, dynamic environment, you’ll help keep mission‑critical workplace operations running smoothly and efficiently.

In this role, you’ll partner closely with Facilities Managers, clients, vendors, and contractors to ensure seamless coordination of daily facility operations.

As part of our Facilities Management team, you’ll support the day‑to‑day functioning of a premier commercial property - helping to maintain a safe, welcoming, and high‑performing environment. Your work will directly enhance the client experience and contribute to the success of this flagship account.

What You’ll Do:
  • Regularly monitor the status of open work orders to ensure their timely completion and closure.
  • Dispatch work orders to technicians and vendors.

What You’ll Need:
  • High School Diploma or GED with a minimum of 2 years of job‑related experience in facilities.
