Job summary

CBRE Group, Inc. is seeking a Facilities Coordinator to be an on-site presence supporting a large campus in California. You will help keep common areas clean, stocked, and prepared for meetings, while maintaining client standards and a productive workplace.

You will collaborate with Facilities Managers, vendors, and client stakeholders to ensure safe, functional operations and timely resolution of issues on a day-to-day basis.

Qualifications

  • High School Diploma or GED required with 2 years of related experience.
  • Ability to walk extensively on a large campus and perform routine inspections.
  • Experience with purchase orders and vendor invoice processing preferred.

Responsibilities

  • Conduct site walkthroughs to identify and address issues.
  • Monitor open work orders for timely completion and closure.
  • Dispatch work orders to technicians and vendors.
  • Generate purchase orders in designated software.
  • Process incoming vendor invoices with accuracy.
  • Coordinate with landlords, tenants and providers to ensure procedures are followed.
  • Respond to client inquiries and concerns promptly.
  • Review work orders, proposals, and vendor paperwork.
  • Follow instructions and ask clarifying questions when needed.
  • Provide clear, defined outputs by following established procedures.

About the Role

Join CBRE as a Facilities Coordinator and play a key role onsite with one of our technology clients, supporting a dynamic campus environment totaling approximately 1 million square feet. Working alongside a team of Facilities Coordinators and Facilities Managers, you will serve as a visible onsite presence, helping ensure the workplace remains welcoming, organized, and operationally efficient for employees and visitors.Schedule is Mon - Fri, 7:30AM - 4:30PM.

In this role, your primary focus will be conducting regular walkthroughs across the campus to maintain a high-quality workplace experience. You'll help ensure common areas are clean and presentable, office and pantry supplies are fully stocked, conference rooms are properly prepared with necessary materials and resources, and workplace amenities are maintained to meet client expectations. Through your attention to detail and proactive approach, you'll help create an environment that reflects the client's standards and supports employee productivity.

As part of CBRE's Facilities Management team, you'll collaborate closely with client stakeholders, Facilities Managers, vendors, and contractors to support day-to-day facility operations. Your work will have a direct impact on the employee and visitor experience, helping to ensure a safe, functional, and well-maintained workplace while contributing to the overall success of the client's campus operations.

What You’ll Do:
  • Conduct site walkthroughs to identify and address site issues.
  • Regularly monitor the status of open work orders to ensure their timely completion and closure.
  • Dispatch work orders to technicians and vendors.
  • Generate purchase orders within designated software programs.
  • Assist with processing incoming vendor invoices, ensuring accuracy.
  • Work with landlords, tenants, and service providers to make sure they implement and recognize all procedures, policies, and reporting formats.
  • Acknowledge and address all client inquiries related to the site, responding promptly to client inquiries and concerns.
  • Review work orders, proposals, department files, and other paperwork submitted by vendors.
  • Follow instructions, short correspondence, and memos and ask clarifying questions.
  • Respond to common inquiries or complaints from clients, co-workers, and supervisors.
  • Use existing procedures to solve straightforward problems while having a limited opportunity to exercise discretion.
  • Impact through clearly defined duties, methods, and tasks are described in detail.
  • Deliver own output by following defined procedures and processes under close supervision and guidance.
What You’ll Need:
  • High School Diploma or GED with 2 years of job-related experience.
  • Ability to walk throughout a large campus environment for extended periods of time, conducting routine facility inspections and workplace walkthroughs.
  • Some exposure to finance-related tasks required. Experience with purchase order creation and invoice process preferred.
  • Must be self-sufficient and can work independently.Candidate should also be resourceful and proactive in seeking clarification when needed.
  • Must possess strong attention to detail.
  • Ability to follow basic work routines and standards in the application of work.
  • Communication skills to exchange straightforward information.
  • Working knowledge of Microsoft Office Suite, to include Word, Excel, Outlook and PowerPoint.Experience using a CMMS preferred.
  • Strong organizational skills with an inquisitive mindset.
  • Demonstrated customer service abilities are required.
  • Basic math skills. Ability to calculate simple figures such as percentages, discounts, and markups.
