Job summary

TeamVision is seeking a central scheduler for our Eye Care Practice to ensure efficient scheduling, clear communication, and proper use of scheduling resources.

In this role you will schedule appointments, maintain records, verify patient information, and support HIPAA compliance while working with in-store technology and EHR systems to minimize wait times and improve the patient experience.

Qualifications

• High school diploma or equivalent required.
• Minimum 2 years' related work experience.
• Strong customer service and communication skills.
• Ability to multitask and stay organized.
• Experience with in-store technology is preferred.

Responsibilities

• Interact with patients to schedule appointments, provide information about procedures, and answer questions related to scheduling.
• Maintain and update the schedules, ensuring accurate and up-to-date information on appointments, meetings, and other commitments.
• Maintain detailed and accurate records of patient appointments, cancellations, and reschedules.
• Communicate effectively with team within the practice to ensure smooth coordination and resolve scheduling conflicts.
• Verify patient information, insurance details, and appointment requirements to facilitate a seamless check-in process.
• Ensure compliance with Practice policies, privacy regulations (e.g., HIPAA), and other relevant guidelines related to scheduling and patient information.
• Manage last minute changes, cancellations, and urgent appointment requests while maintaining a balanced schedule.
• Proficiently use scheduling software and electronic health records systems to streamline the scheduling process and maintain accurate records.
• Strive to enhance the patient’s experience by minimizing wait times, providing clear instructions, and addressing scheduling-related concerns promptly.
