Job summary

Career Group in San Francisco seeks an experienced Executive Assistant to support senior executives in finance, private equity, and related professional services. You will manage calendars, coordinate meetings, and serve as a liaison with investors, clients, and internal teams.

You will handle confidential information with discretion, plan domestic and international travel, track expenses, and help organize firm events. Strong MS Office skills and excellent communication are essential.

Qualifications

  • Minimum 5 years of experience supporting senior executives in finance, private equity, venture capital, hedge funds, or similar environments.
  • Exceptional organizational skills with strong attention to detail and follow-through.
  • Ability to manage competing priorities and remain composed under pressure.
  • Advanced proficiency in Microsoft Office Suite, including Outlook, Excel, PowerPoint, and Teams.
  • Strong written and verbal communication skills and discretion with sensitive information.
  • Professional, resourceful and highly adaptable with a service-oriented mindset.

Responsibilities

  • Manage complex and ever-changing calendars across multiple time zones.
  • Coordinate internal and external meetings, including scheduling, materials preparation, and meeting logistics.
  • Serve as a liaison between executives, investors, clients, and internal teams.
  • Handle confidential information with the highest level of professionalism and discretion.
  • Assist with ad hoc projects and administrative initiatives as needed.
  • Coordinate detailed domestic and international travel arrangements, including flights, hotels, car services, dining reservations, and itineraries.
  • Prepare comprehensive, hour-by-hour travel itineraries and contingency plans.
  • Track and reconcile expenses and ensure timely submission of reports.
  • Assist with planning team events, offsites, and firmwide meetings.
  • Support visiting executives and collaborate closely with office operations.
  • Help maintain a seamless and professional office experience for internal and external stakeholders.

Key Responsibilities
