About the Company
Our client, a leading private equity firm, is seeking an experienced Office Manager / Executive Assistant to join their San Francisco office. This individual will provide high-level administrative support to three deal professionals while overseeing the day-to-day operations of the office. The ideal candidate is polished, proactive, highly organized, and thrives in a fast-paced, collaborative environment.
Key Responsibilities
Executive Support
- Provide high-level administrative support to three investment professionals, including complex calendar management and scheduling.
- Coordinate domestic and international travel, detailed itineraries, and expense reporting.
- Prepare meeting materials, presentations, reports, and correspondence.
- Manage confidential information with the highest level of discretion.
- Serve as a liaison between executives, investors, external partners, and internal teams.
- Anticipate executive needs, prioritize competing demands, and ensure seamless day-to-day support.
Office Management
- Oversee the daily operations of the San Francisco office, ensuring an organized, polished, and efficient workplace.
- Manage office vendors, facilities, supplies, and building relationships.
- Coordinate office maintenance and serve as the primary point of contact for office-related needs.
- Support new hire onboarding and office logistics.
- Foster a positive office culture and ensure an exceptional employee and visitor experience.
Event Planning & Operations
- Assist with firmwide initiatives and special projects.
- Plan and coordinate internal meetings, team off-sites, investor events, office celebrations, and employee engagement activities.
- Identify opportunities to improve office processes and administrative efficiencies.
- Provide additional administrative support to the broader team as needed.
Qualifications
- Bachelor's degree required.
- 4+ years of Executive Assistant, Office Manager, or related administrative experience.
- Prior experience supporting executives within private equity, venture capital, investment banking, hedge funds, or financial services is strongly preferred.
- Experience planning corporate events, team off-sites, and internal meetings.
- Exceptional organizational, project management, and multitasking skills.
- Outstanding written and verbal communication skills.
- High level of professionalism, discretion, and attention to detail.
- Advanced proficiency with Microsoft Office Suite and Google Workspace.
- A proactive, polished, and service-oriented approach with the ability to thrive in a fast-paced environment.
