About the Company

Our client, a leading private equity firm, is seeking an experienced Office Manager / Executive Assistant to join their San Francisco office. This individual will provide high-level administrative support to three deal professionals while overseeing the day-to-day operations of the office. The ideal candidate is polished, proactive, highly organized, and thrives in a fast-paced, collaborative environment.

Key Responsibilities
Executive Support
  • Provide high-level administrative support to three investment professionals, including complex calendar management and scheduling.
  • Coordinate domestic and international travel, detailed itineraries, and expense reporting.
  • Prepare meeting materials, presentations, reports, and correspondence.
  • Manage confidential information with the highest level of discretion.
  • Serve as a liaison between executives, investors, external partners, and internal teams.
  • Anticipate executive needs, prioritize competing demands, and ensure seamless day-to-day support.
Office Management
  • Oversee the daily operations of the San Francisco office, ensuring an organized, polished, and efficient workplace.
  • Manage office vendors, facilities, supplies, and building relationships.
  • Coordinate office maintenance and serve as the primary point of contact for office-related needs.
  • Support new hire onboarding and office logistics.
  • Foster a positive office culture and ensure an exceptional employee and visitor experience.
Event Planning & Operations
  • Assist with firmwide initiatives and special projects.
  • Plan and coordinate internal meetings, team off-sites, investor events, office celebrations, and employee engagement activities.
  • Identify opportunities to improve office processes and administrative efficiencies.
  • Provide additional administrative support to the broader team as needed.
Qualifications
  • Bachelor's degree required.
  • 4+ years of Executive Assistant, Office Manager, or related administrative experience.
  • Prior experience supporting executives within private equity, venture capital, investment banking, hedge funds, or financial services is strongly preferred.
  • Experience planning corporate events, team off-sites, and internal meetings.
  • Exceptional organizational, project management, and multitasking skills.
  • Outstanding written and verbal communication skills.
  • High level of professionalism, discretion, and attention to detail.
  • Advanced proficiency with Microsoft Office Suite and Google Workspace.
  • A proactive, polished, and service-oriented approach with the ability to thrive in a fast-paced environment.
