What You'll Do
- Track projects, deadlines, and action items to ensure timely completion
- Lead project coordination efforts across multiple departments, ensuring alignment of priorities, timelines, deliverables, and stakeholder expectations
- Maintain project plans, status reports, and executive dashboards to provide visibility into key initiatives and business objectives
- Partner with leadership to manage and execute strategic initiatives, process improvement projects, and organizational priorities
- Coordinate technology initiatives, including software implementations, system upgrades, workflow automation projects, and vendor relationships
- Act as a liaison between business leaders, technology providers, and cross-functional teams to ensure successful implementation of technology solutions
- Identify opportunities to leverage technology to improve operational efficiency, communication, and overall business performance
- Manage complex executive calendars, scheduling, and priority-setting activities
- Oversee email communications, correspondence, and follow-up actions on behalf of leadership
- Coordinate meetings, presentations, travel arrangements, and special events
- Prepare professional reports, presentations, and client-facing documents
- Serve as a liaison between executives, clients, vendors, and external business partners
- Maintain confidential files, records, and sensitive business information with the highest level of discretion
- Assist with office operations, process improvements, and administrative initiatives
- Support document management, electronic signatures, and workflow coordination
- Conduct research and assist with special projects as assigned
- Partner with technology providers and internal stakeholders to improve business processes and operational efficiency
What We're Looking For
- 3+ years of Executive Assistant, Senior Administrative Assistant, or similar experience
- Experience supporting senior executives in a professional, deadline-driven environment
- Exceptional organizational and time-management skills
- Strong written and verbal communication abilities
- Interest in leveraging technology and AI tools to enhance workplace efficiency; highly tech savvy
- Advanced proficiency with Microsoft Office Suite, including Outlook, Word, Excel, and PowerPoint
- Ability to manage multiple priorities while maintaining accuracy and professionalism
- High level of discretion when handling confidential information
- Self-motivated, adaptable, and capable of working independently
