Job summary

Addison Group in Austin, TX is seeking an experienced Executive Assistant to provide dedicated support to a senior executive in a fast-paced corporate setting. This temporary coverage will begin ASAP and is hybrid (3 days in office / 2 days remote).

The ideal candidate has 5+ years of executive support, superb written and verbal communication, and expert calendar management across multiple time zones, along with strong discretion and professionalism.

Qualifications

  • 5+ years of experience supporting senior-level or C-suite executives.
  • Exceptional written and verbal communication skills; highly articulate and polished.
  • Strong calendar management and scheduling experience.
  • Experience coordinating meetings, conference rooms, events, and executive engagements.
  • Strong proficiency with Microsoft Office and standard business technology.
  • Demonstrated ability to manage competing priorities in a fast-paced environment.
  • Strong attention to detail and organizational skills.
  • Ability to handle confidential and sensitive information with discretion.
  • Professional, polished presence with the ability to communicate effectively with individuals at all levels of an organization.

Responsibilities

  • Provide high-level administrative and executive support to the SVP.
  • Manage a complex and frequently changing calendar, including scheduling internal and external meetings, prioritizing conflicts, and coordinating across multiple time zones.
  • Coordinate meetings, conference rooms, agendas, and other logistics for internal and external engagements.
  • Assist with planning and coordinating corporate events, meetings, and executive engagements.
  • Prepare, organize, and proofread correspondence, presentations, meeting materials, and other documents.
  • Serve as a professional point of contact for internal and external stakeholders, including senior leaders and government or corporate partners.
  • Handle sensitive and confidential information with a high degree of discretion and professionalism.
  • Anticipate the executive's needs and proactively manage administrative details to keep priorities moving forward.
  • Coordinate travel and other logistics as needed.
  • Work closely with the broader team and other administrative partners to ensure seamless communication and execution.
  • Provide additional administrative support and special-project assistance as needed.

About the Role

Our client is seeking an experienced Executive Assistant to provide dedicated support to a high-level executive. This is an excellent opportunity for a polished, highly articulate EA who is comfortable operating in a fast-paced corporate environment and supporting a senior executive with a demanding schedule.


The ideal candidate will bring 5+ years of executive-level administrative experience, exceptional written and verbal communication skills, and the ability to anticipate needs, manage competing priorities, and maintain a high level of professionalism. Experience supporting executives in corporate communications, government affairs, public relations, energy, or a similarly high-visibility environment is a plus.


This position will provide temporary coverage while the current EA is out and will ideally begin prior to the leave to allow for a smooth transition and training period.
